Our process
From the very first collection of your files to the secure destruction, we take care of everything from start to finish to allow you to continue with your working day as normal without any disruptions.


 

Personal collection of documents


We personally collect all documentation in Paper Escape marked vans. A collection note is issued upon collection with a unique reference number.


 

Preparation of documents


Staples, paper clips, sticky notes and binders etc are removed and creases are straightened out to ensure that the documentation can be fed through the scanners.


 

Scanning of your files


The prepared documents are then scanned by our scanning operatives. We only use the very top of the range scanning equipment which use a range of intelligent settings that ensure that no document is missed during the scanning process.


 

Indexing of files


Once scanned, the electronic versions of your files are indexed with your required data, whether it is a client surname, reference number or address. You can specify up to six search terms of your choice. Indexing is a key element of electronic document storage and allows you to locate the required file within seconds without leaving your desk.


 


 

Quality checks


All electronic files are put through a series of checks to ensure that any errors are corrected before the files are stored on to Disc or Hard Drive.


 

Files are stored to Disc USB stick or Hard drive


Once everything is checked and approved, the scanned files and folders are stored to CD-ROM DVD, USB stick or Hard Drive depending on your requirements. We always supply one master disc and two backup discs as standard with any scanning project.


 

Personal delivery of your electronic files


We seem to be hearing horror stories all the time about the government misplacing sensitive information stored on CD’s and laptops, that is why we take extra steps to give our customers peace of mind. Once completed we will arrange for your password protected project to be returned by secure post or hand delivered by one of our team if you prefer. This is just one of the many services that set us apart from the competition.


 

Your documents are returned or securely destroyed


Once the electronic versions of your paper documents have been approved by you, we can arrange for your documents to be returned to your offices or we can arrange for the paperwork to be securely destroyed and recycled. Once destruction of the documents is complete, we will issue you with a certificate of destruction providing you with a legal audit chain from start to finish as per guidelines set by the FSA and Law Society.


 

FREE RETRIEVAL SERVICE


Should you urgently require one of your files whilst it is undergoing the scanning process, simply contact us by phone or email with the file reference and we will scan and email the electronic version of your file the same day as requested or arrange the return of the physical file next day if required.
